How to Scan and Resize a Signature for Online Forms

Quick Answer

Sign with a dark pen on plain white paper, photograph it in even light, crop tightly, and then use a tool like the free [Signature Resizer](/tools/signature-resizer) to set the width, height and file size the form asks for. Keep the original so you can reuse it.

Create a clean digital signature image from paper, then resize it to meet strict size limits for exams, job applications and bank forms.

Start with a good paper signature

The quality of your final image depends on the first step. Use a medium-point black or dark blue pen on plain white paper. Avoid pencil, light ink or lined paper, which can introduce noise and make the strokes fade when compressed.

Sign a few times and choose the cleanest one. Leave some white space around it so you can crop comfortably.

Capture it

Place the paper on a flat surface in bright, even light, ideally near a window and without your shadow falling on it. Hold the phone directly above to avoid a tilted perspective, and take the photo.

If you have a scanner, use it at a moderate resolution in grayscale. High resolution is not needed and just creates a larger file.

Crop and resize

Crop tightly around the signature so it fills the frame. Then open the Signature Resizer, add the image, and enter the pixel size and maximum file size required by your form. Download the result and check that the strokes remain smooth.

If the form has a different, stricter limit, you can follow the general approach in our guides for 20 KB images or 50 KB images.

  • Crop closely to the signature.
  • Enter the width and height from the form.
  • Set the maximum file size.
  • Download and preview at full size.

Avoid common problems

Dark background patches are the usual culprit for rejected files. If the paper looks grey in the photo, brighten the image slightly before resizing. A signature on a coloured or textured surface compresses badly and looks rough.

Do not stretch the signature to fill a box with different proportions. Distortion makes it look unnatural and can cause a mismatch with the signature on your documents.

Presets and typical dimensions

Different forms use different dimensions. Examples you may see include a few hundred pixels wide by around a hundred pixels high, with file sizes from about 10 KB up to 50 KB. The exact numbers are set by each organisation, so use what your form states rather than a number from a forum post.

The Signature Resizer lets you type any width, height and maximum size, and it can clean the background to white. That is helpful when the paper looks grey in the photo, because a clean white background compresses far better and looks more professional.

Making the signature look natural

A signature image should look like a signature, not a smudge. Keep the pen strokes dark and confident, and avoid shrinking the image so much that fine loops disappear. If you must choose between exact pixel size and legibility, check whether the form tolerates a slightly different size, and ask the organisation if possible.

Consistency matters too. If you are applying for something where signatures are compared, use the same style you would on identity documents. A very different, rushed signature can raise questions even if the image itself is technically perfect.

If your form accepts it, save the signature as a PNG with a transparent background for use on documents, and as a small JPG for forms that demand it. Having both ready saves time.

Keep it safe

A signature image can be misused if it falls into the wrong hands. Store it in a private folder, avoid sending it by chat or email unless required, and do not post it on social media. Our tool works in your browser, so the file is not uploaded for processing.

If you need to combine the signature with documents, the image to PDF tool can put it on a page, though many official forms have their own signature fields.

Frequently Asked Questions

What size should a signature image be?

It depends on the form. Many ask for a small image around a few kilobytes to tens of kilobytes with set pixel dimensions. Always follow the instructions on your form.

Is a scanned signature legally valid?

It depends on the document and the country. Many forms accept an image of a handwritten signature, but some processes need a specific electronic signature or a wet-ink original. Check the requirement.

Should I use a typed signature instead?

Only if the form allows it. Many portals specifically want your handwritten signature.

Why does my signature look blurry after resizing?

Heavy compression and low-contrast ink cause blur. Use a darker pen and a larger pixel size if the limit allows.

Do I need a scanner?

No. A phone camera in good light is enough for most forms.
